Document Storage in Dubai: How to Protect Deeds, Wills and Original Certificates

Which original documents belong in secure storage in Dubai, how to organise them, when copies are enough, and what your family needs to know if you die.

For originals that are slow or impossible to replace, such as title deeds, wills, powers of attorney, attested certificates and company records, the most practical approach in Dubai is to keep the originals in a private safe deposit box, hold certified copies or encrypted scans elsewhere, and write an index that a trusted person can find. The box protects the paper; the index and the copies make sure nobody is stuck if you are unavailable.

A safe deposit box protects the physical document. It does not replace official registration: property records, company filings and registered wills also exist with the relevant authority, and those records remain the legal reference.

Should you store originals or copies?

Store originals in the box and copies everywhere else. Most day-to-day processes in the UAE, such as renewing a visa or opening an account, accept copies or digital records, while originals are needed less often and for higher-stakes moments: a property sale, a court case, probate or a new attestation.

  • Certified copies are worth the small cost for documents you may need to show while the original stays in the vault.
  • Encrypted scans in a password manager or encrypted cloud folder give you instant reference, but treat them as sensitive: an unencrypted scan of a passport or title deed is an identity-theft risk.
  • Do not laminate originals. Lamination can damage paper and some authorities will not accept a laminated document.

Who can access a safe deposit box after death in the UAE?

This is the question most families only ask when it is too late. As general information, access after a renter’s death is governed by the rental agreement and by UAE law, and a vault operator will usually release contents only to people who can show legal authority, such as a court order or inheritance documents. An authority you gave someone during your lifetime may not continue after your death, so do not assume an authorised person can simply empty the box.

Succession rules in the UAE depend on factors such as your religion, nationality, where assets are located and whether you have a registered will. Non-Muslim expatriates can register wills through recognised routes, including the wills service of the DIFC Courts.
