How to Rent a Safe Deposit Box in Dubai: Steps, Documents and What to Check

A step-by-step guide to renting a private safe deposit box in Dubai: how it works, the documents you need, who can access it and a nine-point checklist for choosing a vault.

To rent a safe deposit box in Dubai from a private vault, you choose a branch and a box size, attend in person with your original Emirates ID (residents) or passport (non-residents), complete a short application with biometric enrolment, sign the rental agreement and pay the annual rent. Once the branch activates your box, you receive your keys and can store your belongings the same day. With a bank, you normally need to be an account holder first and wait for a locker to become available at your branch.

This guide explains how a safe deposit box works, walks through each step, lists the documents required and gives you a nine-point checklist for comparing private vaults in Dubai.

What is a safe deposit box?

A safe deposit box is a lockable metal box, rented usually by the year, that sits inside a secured vault room. The provider protects the room; you control what goes in the box. Nobody, including the provider’s staff, can open it without you. A private safe deposit box is simply one rented from an independent vault operator rather than a bank. It works the same way, but the rental is a standalone service and is not tied to a bank account.

How does a safety deposit box work?

At HBS Privé, every box has a dual-key lock. One key is yours; the other is a guard key held by the vault. The box can only be opened when both keys are used together, which means staff cannot open your box alone and a stolen client key is useless without the vault’s key and your presence.

A typical visit looks like this:

  1. You arrive at the branch during opening hours (Monday to Saturday, 09:00 to 19:00) and present your original ID.
  2. Biometric entry confirms that you are the registered client before you are admitted to the vault area.
  3. A member of staff accompanies you to your box, and the two keys are used to release it.
  4. You take the box to a private viewing room and close the door. What you add, remove or check is seen by nobody else.
  5. You return the box, it is locked with both keys, and you leave.

At registration you receive two unique keys for your box. HBS Privé keeps no copy of them, so store the second key somewhere safe and separate from the first. You can read more about each layer of protection on our security page.

Why rent a safe deposit box?

People rent a box for different reasons, but seven come up again and again:

  1. Separation from home. Valuables kept off-site are not exposed to a burglary, a fire, a leak or pressure on you at your front door.
  2. Layered security. A professional vault combines physical barriers, guarding, monitored alarms and identity checks that a home safe cannot match.
  3. Controlled access. Biometric entry and a dual-key lock mean only you, and anyone you formally authorise, can reach the contents.
  4. Privacy. You never have to declare what you store, and private viewing rooms keep your belongings out of sight.
  5. Insurance. At HBS Privé, insurance through Lloyd’s of London is included, with cover up to AED 1,000,000, subject to policy terms.
  6. Order. Originals, certificates and backups kept in one known place are easier to find when a family or legal need arises.
  7. Peace of mind while travelling. Residents who travel often, and non-residents who spend part of the year in Dubai, know their valuables are not sitting in an empty home.

How to rent a safe deposit box in Dubai, step by step

  1. List and measure what you will store. Measure items in their protective cases, not bare. Height is usually the deciding dimension. Note the approximate weight of any gold.
  2. Choose a size. HBS Privé offers five sizes, from Classic for flat documents to Privé for larger items. The size finder suggests a size from a list of common items, and our sizes guide explains what fits in each.
  3. Choose a branch. JLT, Business Bay or Dubai Creek (Deira). Pick the one you can reach easily during opening hours. Addresses and directions are on the branches page.
  4. Reserve. You can reserve a box online, choosing a rental term of one to ten years, or contact the branch. A reservation or payment alone does not give access: the branch still has to complete identity checks and activation.
  5. Visit with your original ID. Bring your original Emirates ID if you are a UAE resident, or your original valid passport if you are not.
  6. Register. Complete the application form, the identity check and biometric enrolment, and sign the rental agreement. Read the insurance wording, the prohibited-items list and the access rules before you sign.
  7. Receive your keys and store your items. Once payment is confirmed and the box is activated, you receive your two keys and can use the box immediately, in a private viewing room.

What documents do I need to rent a safe deposit box?

Requirements depend on who is renting:

ApplicantDocuments to bringNotes
UAE residentOriginal Emirates IDThe same original ID is presented at every visit
Non-resident or visitorOriginal valid passportNo UAE bank account is required; tell the branch when your passport is renewed
Company or foundationValid UAE trade licence, copy of the memorandum of association, share certificateAsk the branch which signatory IDs and authorisations are needed before visiting
Authorised personTheir own original Emirates ID or passportRegistered through a form at the branch, with the renter’s approval

Copies and expired documents are not accepted. If you are not a UAE resident, our guide to renting a safe deposit box as a non-resident covers planning a visit from abroad.

How long does it take to get a safe deposit box?

At a private vault, registration is short: HBS Privé’s published guidance is that the form, identity check and biometric enrolment take under 15 minutes. Add time to choose your size in person, read the agreement and arrange your items in a private room. If a box of your chosen size is available at your branch, you can start using it on the day you register. With a bank, the timeline depends on account opening, if you are not already a customer, and on locker availability at the branch.

Who can access my safe deposit box?

You, as the registered renter, and one authorised person if you choose to add one. The authorised person is registered through a form at the branch, must present their own original ID and completes biometric enrolment. They cannot be added by sharing your key or your online account. For a company, access follows the authorisations agreed at registration.

What happens to a box after the renter’s death is governed by the rental agreement and by the applicable law of succession, which can differ depending on your nationality, religion and whether you have a registered will. This is general information only: take legal advice, and see our guide to securing important documents in Dubai for practical planning.

How to choose a private vault in Dubai: a nine-point checklist

Not every vault is built or run to the same standard. These are the nine things worth checking before you commit, with what to ask and what HBS Privé offers.

1. Security

Look for layered protection: a strong room and vault door, professional guarding, monitored alarms, biometric access control and continuous CCTV. Ask who guards the site and where alarms are sent. HBS Privé is a SIRA-approved facility with G4S guarding and alarms connected to Dubai Police.

2. Ownership

Ask who owns the premises and how long the lease runs. A provider that owns its building is less likely to relocate your box at short notice. HBS Privé directly owns two of its three Dubai facilities.

3. Climate

Dubai’s heat and humidity can tarnish silver, damage documents and affect electronics. Ask whether the vault is air-conditioned and dehumidified around the clock. HBS Privé’s vaults are air-conditioned with active dehumidification, keeping relative humidity below 50%.

4. Privacy

You should never have to open your box in front of staff or other clients. Ask whether there are enclosed viewing rooms and how client data is protected. HBS Privé provides private viewing rooms and does not share client information.

5. Access

Check opening days and hours, whether you need an appointment and how often you may visit. HBS Privé branches are open Monday to Saturday, 09:00 to 19:00, with unlimited visits during opening hours. If you might need access outside these hours in an emergency, ask the branch what can be arranged.

6. Onboarding

A good provider makes eligibility clear before you travel: which ID, which forms, how long it takes, and whether non-residents are accepted. HBS Privé accepts residents and non-residents with an original Emirates ID or passport, and allows online reservation.

7. Pricing transparency

Prices should be published by size, with VAT, deposits and renewal terms stated clearly. HBS Privé publishes annual prices for each size on the safe deposit boxes page, requires no deposit and offers terms of one to ten years.

8. Insurance

Ask whether cover is included, who the insurer is, the limit, the exclusions and what evidence you would need to make a claim. HBS Privé includes insurance through Lloyd’s of London with cover up to AED 1,000,000, subject to policy terms. For higher-value collections, ask about using your own insurance certificate.

9. Sizes

A provider with only one or two sizes forces you to pay for space you do not need, or to split belongings across boxes. HBS Privé offers five sizes, Classic, Premier, Prestige, Elite and Privé, and you can upgrade to a larger box during the rental if your needs grow.

Frequently asked questions

Do I need a bank account to rent a safe deposit box in Dubai?

Not at a private vault. HBS Privé rents boxes as a standalone service, so no bank account, minimum balance or banking relationship is required. You pay the annual rent for your chosen size. Bank lockers are different: they are usually offered to the bank’s own account holders, so ask the bank about its eligibility rules.

Can I rent a safe deposit box online?

You can reserve a box online, choosing your size, branch and a term of one to ten years. You still need to visit the branch in person with your original ID to complete registration, biometric enrolment and activation before you can use the box. A reservation or payment alone does not give access to the vault.

Can two people share a safe deposit box?

At HBS Privé, the renter can register one authorised person to access the box. That person is added through a form at the branch, presents their own original ID and completes biometric enrolment. Ask the branch about arrangements for couples, families or companies if you need something different, before you sign the agreement.

What happens if I lose my key?

Contact your branch straight away. Because every box needs both your key and the vault’s guard key, a lost key cannot open the box on its own. The branch will explain the replacement procedure and any charges set out in your agreement. Keeping your two keys in separate, secure places avoids most problems.

Can I change box size later?

Yes. HBS Privé allows you to upgrade to a larger size during the rental period if you need more space, subject to availability at your branch. Contact the branch to check availability and how the price difference is calculated for the remaining term, before you plan the move.
